Description:

Delivering effective support to the President and CEO, Boehringer Ingelheim Fremont Inc, in a timely manner. Coordinating and interfacing with internal and external stakeholders and partners in an international environment. Driving, planning and executing projects, e.g. site events and external sponsoring. Functional team leadership responsibility for Site Administration.

Duties & Responsibilities:

  • Site management support

  • Provides effective and pro-active executive assistance to President & CEO (Site Head) in a dynamic environment. Manages calendar and travel schedules in international environment.

  • Coordinates conferences/meetings/workshops with internal participants and external stakeholders in support of all functions. Direct support of Site Head and PM Manager meetings.

  • Responsible for arranging all requirements for meetings, appointments and conferences including scheduling, scribing minutes, organizing refreshments/meals, and booking of travel (airfare/hotels) if required.

  • Provides administrative support for expense reports, vacation requests etc.

  • Handles confidential issues on a regular basis and maintains the confidentiality of executive decisions and information.

  • Administers site management needs including data entry, correspondence and reporting.

  • Fosters relationships within matrixed organization

  • Project Management support

  • Owns and executes projects given by Project Management lead.

  • Coordinates PM meetings and administers agenda and presentations.

  • Events and Marketing

  • May assist with, create and execute marketing initiatives for site management in order to strengthen external representation and branding.

  • Plans, coordinates and executes yearly site events, working directly with relevant functions.

  • Works directly with relevant functions to foster timely organization of events.

  • Plans and executes external sponsoring

  • Maintains events and sponsoring budget

  • Administration

  • Functional managerial responsibility; drives streamlining work and improving efficiency of administrative support of the site.

  • Implements cost reductions of administrative tasks where improvement opportunities arise.

  • Help facilitate integration of administrative colleagues into local/regional/global network

  • Acts as backup for other administrative roles during PTO or LEA.

Requirements:

  • Bachelors’ degree in Business Administration and/or Economics or equivalent is preferred.

  • Minimum three (3) to five (5) years executive administrative experience in global setting.

  • Proficiency in German language highly preferred

  • High level of demonstrated integrity and confidentiality are primary requisites for the position.

  • High level of proficiency in the use of Microsoft Office products including Outlook, Word, Excel, PowerPoint. Experience with project planning techniques and software are desired.

  • This role requires an individual with effective planning skills and high attention to detail.

  • Excellent communication skills, both oral and written, with experience and ability to interface with all levels of the organization including the executive leadership team.

  • Ability to maintain a high level of professionalism and work with internal and external contacts

  • Strong, results focused individual with ability to work independently or within a team in a fast-paced changing environment and provides functional and specialist managerial responsibility.

Eligibility Requirements:

  • Must be legally authorized to work in the United States without restriction.

  • Must be willing to take a drug test and post-offer physical (if required)

  • Must be 18 years of age or older
